Excel is a spreadsheet program designed by Microsoft for the user to create databases effectively, efficiently and with ease. You can use excel in day-to-day life to keep track of necessary utilities that are significant like financial expenditure, fitness and time management.

Excel can also be used to analyze the collected data through pi-charts and graphs that help a user to draw its own inference and keep track of its progress and redundancies in daily life.

To keep the excel handier, there are a lot of functions that are inbuilt in the software enabling the user to perform different mathematical operations on any arrangement of data in a user-friendly way.

Some of the examples of these functions are:

  6. Maxima and minima

Functions are implemented by typing an equal to (=) sign followed by the function name and the row or column locations in parenthesis.

For example:
=SUM(A1:A10) takes the sum of the column defined by A1 through A10.

Basic Mathematical Operations

This category includes operations such as Addition, Division, Subtraction, and Multiplication, which enable the user to do lengthy calculations in just a matter of seconds. These attributes can be used for calculation of say, the daily intake of carbohydrate by your body on different days selected randomly, the total intake, and even the increment or decrement in carbohydrate intake during randomly selected days. Like any other function, it does not need specific rows or columns to operate. Unlike other functions, the operator does not have a name, but rather its mathematical symbol.

For example:


This is a very important function for the daily user of excel. It helps the user to get the gross total of any row or column. This tag can be used to summarize the entire database in one cell. Usually, at the end of the report, all the inferences are drawn from the grand total of data, of the entire spreadsheet. This method is effectively used for comparison of data from a multitude of spreadsheets in a very effective and rapid way.

For example, the aggregate function can be used for your monthly expenditure. It can be used for comparison of monthly expenditure for different months which allows you to visualize your economic expenditure with respect to months of the year thereby enabling you to prepare yourself for upcoming expenditures more effectively and smartly. It allows you to distribute your fund according to sustainable expenditure with respect to months with least amount of redundancies and waste of fund which ultimately boosts your savings.

Absolute Value

As the name suggests, this function is used when the user desires to get only positive values for their calculation. Sometimes when working with a spreadsheet, the data in rows and columns may fluctuate a great deal, which might lead to meaningless data analysis. The absolute value fucntion can help avoid inconsistencies in calculations.

For example, let’s assume a database of students with their age on the spreadsheet and we intend to find out the difference between their ages with respect to their performance in any particular test. Here negative number in ages will not make any sense in the analysis of data, so we have to use absolute value.


This function is utterly useful for users working on humongous databases carrying a lot of information about subjects. While handling a big database, it is very important to keep tabs on every row and column within the spreadsheet for errors. The address function helps because it allows us to get values of any rows at any given time.

For example, let us suppose a user has been maintaining a record of time spent in the gym for over a year and suddenly they want to know how much hours they have spent on a random day. They can easily get that information with address function.


This function is used to calculate the average of any given rows or columns. While working on a big spreadsheet with lots of data in it, it is inevitable for the user to get confused or bewildered by the fluctuation of data. To tackle this problem, the user needs a uniform figure which gives an idea of the data in a concise manner as much as a cell. That’s where the average tag comes in. It gives the user a mean value of columns or rows.

For example, let’s suppose we are working on our money expenditure on the day-to-day basis. Now in a spreadsheet, some days might show a small amount of money and some days show a high amount. If a user wishes to get an idea of the money they spent on the daily basis, they can use an average tag. The average tag can also be used to calculate the average of any arbitrary entered values by the user.

For example:
=AVERAGE(1, 2, 3) will output 2.

Maxima and Minima

These functions have a special place in Microsoft Excel. Unlike all the tags discussed above, they do not perform arithmetic operations on data. They are a relational operator. The main function of these attributes, as the names suggest, is to get the maximum or the minimum value from any given set of data or any arbitrary data entered by the user. This tag is generally used in the spreadsheets containing massive amounts of data to get a range of those data.

For example, let’s say we are working on a spreadsheet with school students’ and their performance in any particular exam. Due to a large number of students and their respective marks, it is almost impossible for the user to get an idea of the highest and the lowest marks obtained by the students. So, the user can easily resolve this issue by using maxima and minima attribute. To use this particular tag put an equal to sign (=) followed by MAX or MIN and in parenthesis, the row or the column or any set of arbitrary data given by the user.

All that are discussed above are the very few of the very large amount of functions inbuilt in Microsoft Excel. It is truly an efficient software useful in day-to-day life. The software helps the user to create a more disciplined and sustainable lifestyle. It helps the user to make smart choices regarding some of the most important aspects of life, like financial management, time management, and health management. It also helps the user to shape their future plans by taking considerations of their past experiences.

For students, Excel can be used as a powerful instrument to manage their time sustainably, smartly and efficiently. If students take a little time each day to log data into Excel, they can analyze data about study habits, grades, schedule, spending habits, and a plethora of variables in order to make improvements to their student lifestyle. Keep iterating this process for a month and you will find yourself in a better place mentally, physically, intellectually, and economically.
