You got through the greeting, but now it\u2019s time to make the purpose of your call known.<\/p>\n<p>But first, remember that many times you won\u2019t set an appointment directly with the person you are meeting. They\u2019ll have a secretary or receptionist tasked with managing their schedule.<\/p>\n<p>It\u2019s always best practice to show utmost kindness and respect for a <strong><em>gatekeeper<\/em><\/strong> (a person who controls access to someone else) in both personal and business matters. You may have to go back and forth a little in a conversation to establish a convenient day and time for a meeting, but we can use these phrases in many situations.<\/p>\n<p>If speaking to a receptionist:<\/p>\n<ul>\n<li><em>Is he\/she available on Tuesday? Is he\/she available next Tuesday?<\/em>\n<ul>\n<li><em>Does he\/she have any availability early next week?<\/em>\n<ul>\n<li><em>Does he\/she have an opening for Friday morning?<\/em><\/li>\n<\/ul>\n<\/li>\n<\/ul>\n<\/li>\n<\/ul>\n<p>A receptionist will know their client\u2019s calendar and will usually offer a time if they have availability.<\/p>\n<p>If speaking directly to someone:<\/p>\n<ul>\n<li><em>Are you free on Wednesday? Are you free next Wednesday?<\/em>\n<ul>\n<li><em>Would the 14th work for you?<\/em>\n<ul>\n<li><em>How does Friday the 7th sound to you?<\/em>\n<ul>\n<li><em>Are you available on Tuesday? Are you available next Tuesday?<\/em>\n<ul>\n<li><em>Is next Monday okay with you?<\/em><\/li>\n<\/ul>\n<\/li>\n<\/ul>\n<\/li>\n<\/ul>\n<\/li>\n<\/ul>\n<\/li>\n<\/ul>\n<p>Follow up with a time:<\/p>\n<ul>\n<li><em>Excellent! Would 2 p.m. work instead?<\/em><\/li>\n<\/ul>\n<ul>\n<li><em>-I\u2019m sorry. I\u2019m all booked up next Thursday.<\/em><em>-No problem. Are you free the Wednesday after that?<\/em><\/li>\n<\/ul>\n<h3><strong><em>Rejecting Inconvenient Times<\/em><\/strong><\/h3>\n<p>Again, arranging a meeting can sometimes go back and forth before you can set a time and day. Sometimes, a person or receptionist may offer a time inconvenient to you. You can use some of the phrases below.<\/p>\n<ul>\n<li>Yes, Thursday at 2 p.m. works for me.\n<ul>\n<li>Yes, Wednesday would be fine.\n<ul>\n<li>Monday is perfect.\n<ul>\n<li>Just to confirm: Friday the 21st at 3 p.m.<\/li>\n<\/ul>\n<\/li>\n<\/ul>\n<\/li>\n<\/ul>\n<\/li>\n<\/ul>\n<p>Most modern doctor and dentist offices have an automated system that will send an email confirmation for any appointment, so it\u2019s always good to give the receptionist your email address.<\/p>\n<p>However, in business situations or for an interview, it may be up to you to establish a confirmation beyond a verbal one. It reinforces the appointment and gives reference so no one forgets. With technology today, it\u2019s convenient to do so. You can use some of these phrases in that instance.<\/p>\n<ul>\n<li>May I send an email to confirm the appointment?\n<ul>\n<li>Could I give you my email address to send a confirmation?\n<ul>\n<li>Could you give me your email address so I can send an invite from my (digital) calendar?<\/li>\n<\/ul>\n<\/li>\n<\/ul>\n<\/li>\n<\/ul>\n<p>Remember, no matter how you confirm the meeting, do it! Be sure to apologize and thank them for understanding. Continue to use more formal language in this situation as it is a show of respect for the other person\u2019s time.<\/p>\n<p>Again, you don\u2019t have to give a reason for cancelling or rescheduling, but sometimes it helps to put the other person at ease and help them understand why.<\/p>\n<p>Here is a list of phrases that can work for any of these situations:<\/p>\n<ul>\n<li><em>I\u2019m so sorry, but, unfortunately something unavoidable has come up, and I won\u2019t be able to make our appointment.
